Our client, a reputable company in the Fashion industry is seeking an Executive / Legal Assistant to provide general executive support and complex administrative duties to the management and legal teams.


Your Responsibilities Will Include:

• Providing full administrative support to top level executives
• Interfacing with various departments and acting as liaison to Executive team
• Attending and taking minutes in all departments and in various meetings as needed
• Coordinating management and department meetings and presentations across various departments including finance, marketing, production, design and e-commerce
• Coordinating logistical matters for meetings (including: site/room reservations, snacks/beverages, supplies and equipment)
• Preparation of materials for meetings, and appointments including agendas and reports;
• Reviewing internal policies and communications in English and French;
• Preparing legal documents, maintaining files and conducting research to support legal department;
• Translating correspondence/documents as required

Clerical Duties:

• Advanced administrative duties such as: handling telephone calls, scheduling appointments, booking travel and other administrative duties;
• Managing calendars; sending and receiving e-mails and performing follow-up;
• Maintaining and organizing filing system;
• Handling all correspondence in an efficient professional manner;
• Corresponding with external service providers, bank representatives, notaries, brokers, business partners, and government reps;
• Coordinating travel (scheduling and all associated arrangements);
• All other administrative tasks, as required.

Exigences:

Required Skills:

• Post secondary Education and University degree preferred
• Experience supporting executive level management
• At least 4 years experience in a company, law firm or professional services setting
• Exceptional interpersonal skills, oral and written communication skills, and a highly professional attitude and discretion
• Superior customer service skills
• High degree of efficiency in time management and demonstrated ability to prioritize and meet deadlines
• Team orientation and ability to work under pressure and to multi-task
• Detail-oriented, methodological and disciplined
• Strong problem solving abilities
• Legal experience preferred
• Knowledge of retail/fashion industry is an asset
• Must have excellent Microsoft office skills including: Microsoft word, PowerPoint, and Excel
• Bilingualism (English/French) is required
